Event Booking Statuses Meaning
On the Events platform, once an Event is open, bookings start to flow in, and depending on the individual Event’s booking requirements and setup, these bookings might appear with different statuses assigned to them, as well as specific colour coding. To view an Event’s bookings list:
- Log into the Admin Interface
- Hover over Events and click on Events from the list of tabs at the top of the page
- Locate the Event you want to see the Bookings list for, hover over Actions on its left-hand side
- Click on Bookings, which will prompt you to the booking list page
- Another way to reach this page is to click on the Event’s name to open its Basic Details page. Once there, at the top-right there is a clickable tab called Bookings, clicking on it will also redirect to the bookings list page.
Here is a table that explains what booking statuses can be triggered, how they are triggered and their colour coding on the bookings list page.
| Booking Status | meaning | Colour coding |
|---|---|---|
| Approved | In Pending Bookings workflow, members can submit a request to purchase tickets. Once their request is approved, but haven’t yet paid for the tickets, their booking appears with this status in the list. | Yellow |
| Approved (Credit) | This booking status applies only to those Member users who have the Invoice Credit Approved setting toggled to Yes, something that Admins can do by searching for the desired user account in Admin > Users, opening their account by hovering with the mouse over the Actions menu on the left-hand side and clicking on Edit (and Save after activating the setting and before leaving the page). Users with this setting activated, when booking tickets that require approval, are automatically approved by the system and do not need to be approved manually. | Yellow |
| Cancelled | Members who have either completed a booking, or sent a request, are able, within certain timing limits, to cancel or request cancellation. Cancelled bookings remain in the list, but appear with the Cancelled status. | Pink |
| Expired | When a user adds a ticket in their basket, that ticket is reserved for them for a period of 5 minutes (value can be changed in the Configuration settings). If the user does not complete the booking, their basket expire, and the booking appears as such in the list. | Grey |
| Held | In Pending Bookings workflow, when users request to purchase tickets, and their request is granted, depending on how the Event is set up they might have to provide additional required details before being able to check out and process payment. While their tickets are in the basket waiting for those details to be filled in, the booking appears in the list with the Held status. | Pale pink |
| Paid | When a booking is complete and paid (even if the price for the Event is set to £0.00), it appears in the list with the Paid status. | Green |
| Pending Complete | In Pending Bookings workflow, when a member sends in a request to purchase tickets, and they are awaiting a response, their booking appears as Pending Complete in the bookings list page. | Purple |
| Pending Incomplete | In Pending Bookings workflow, when a member initiates the process to request tickets purchase, but haven’t yet filled in some required details and haven’t yet submitted the request, the booking appears in the bookings list page as Pending Incomplete | Grey |
