How to Confirm Attendance

Confirming Event Attendance

The Confirm Attendance feature enables Admins to easily bulk mark attendance and ‘close out’ their event.

On the BAFTA Events system, the status of attendance can be categorised in three ways: attended, not attended and unknown.

On the day of an event, Admins can use the check-in app to record either full or partial attendance data for their guests. This is automatically synced to the Events platform and can be reviewed, or edited later if required.

Once the attendance sheet has been signed off, Admins can select ‘Confirm Attendance’ to bulk mark any remaining ‘unknown’ statuses as ‘not attended’ and close out the event. This will update the ‘Suspendable’ User list in accordance with branch-set criteria.

The Confirm Attendance feature was developed to support Admins in recording attendance for large events.

How to Confirm Attendance

Follow these steps to utilise the Confirm Attendance feature –

  1. Select ‘Events’ from the header tabs.
  2. Navigate to the respective event – it must be in the past and not active.
  3. Navigate to the ‘Actions Menu’ in the left hand column, and select ‘Attendance’.
  4. Review the attendance data currently present in the table and make any changes required.

Attended – click the box in the ‘Record Attendance’ column once.

Not Attended – click the box in the ‘Record Attendance’ column twice.

Unknown – click the box in the ‘Record Attendance’ column three times to clear the record.

5. Once any known attendance statuses have been manually recorded or updated, select the ‘Confirm Attendance’ button either above or below the table to bulk mark any remaining Users as not attended and close out the event. After actioning this, none will be left as ‘unknown’ or blank.

6. A pop-up will appear requesting confirmation on the the action. Select ‘Confirm Attendance’ to proceed.

7. Now every User will be marked as either attended or not attended. A banner message will appear, noting the Admin who confirmed the attendance and when.

8. If an attendance record needs to be retrospectively changed, click the box in the ‘Record Attendance’ column for the respective User. This will automatically save and update suspension eligibility accordingly.

Please note

  • Suspension eligibility will not be updated until the ‘Confirm Attendance’ feature is utilised and the event is closed out.
  • There is a table at the top of the page that provides an overview of the event’s attendance.
  • It is advisable to use the BAFTA Events check-in app to mark attendance throughout the event. This will sync with the Events system and reduce manual data entry.
